Team Member Rental Request Form
POLICY STATEMENT:
- Team Members who have completed their 60-day probationary period are eligible for a rental discount.
GUIDELINES:
- Eligible after 60 days for Full-Time, Part-Time, and Seasonal Team Members.
- Each team member is allowed up to $1500 in rental items per calendar year at “no charge”. This does not include delivery, tax, premium hours, or setup if needed.
- Once a team member reaches their allotted $1500, all other rental items will be offered to the Team Member at a 75% discounted rental rate up to $5k in value.
- Resale items (popcorn packets, bags, etc.) will be priced at our company’s buy-in cost.
- For the first calendar year, this amount will be prorated based on how many months remain on the calendar after the team member reaches 60 days of employment.
- The rental balance must be paid in full for the quote to be converted into a standard reservation order before the will call pickup or delivery date.
- If rental items are added on after the initial balance has been collected, payment must be made for the remaining balance before the items leave the warehouse.
- Payroll deductions are an option.
- If you leave the organization, any remaining balances will be deducted from your last paycheck or taken in the form of vacation days or personal days.
- Team Members cannot “share” (one Team Member using their discount for another Team Member) their $1500 allowance with other Team Members. If a Team Member does this, they will be subject to corrective action, up to and including termination.
TENT RENTAL GUIDELINES:
- Tents are only available to Team Members if their home location rents tents.
- Setup labor is not included with Team Member tent rentals and is charged separately where applicable.
- Tent rentals for Team Members are charged at 50% of the regular rental rate.
- Team Members may not set up their own tents at no charge.
- Client-install canopies may be used at no charge if the Team Member completes the setup.
- If a tent is required for a client order and no suitable substitution is available, the Team Member may keep the tent by paying 90% of the regular rental rate.
- Team Member tent-related orders are subject to the same labor availability and scheduling constraints as regular client orders, especially during peak periods.
PROCEDURES FOR PLACING YOUR REQUEST:
- Once the online form is submitted, it will automatically be sent to an Event Consultant who will enter it into Sage.
- The EC will email a price quote to the Team Member with the applied benefit discount.
- Please use the website to research your options before entering your rental request in ADP.
- If you want to meet with an EC to discuss products, please request this time through the department manager to make an appointment.
- Submit requests with a minimum lead time of one week before the delivery date. The sooner you submit your request the better.
- Purchasing must approve Team Member rentals to ensure availability.
- The rental items must be for the Team Member’s personal use or immediate family (self, spouse, children, parents, and siblings). This does not include extended family members or friends.
- The equipment cannot be used to make a profit.
